Viewer Permission Types:
You can share your guiddes and playlists in several ways. For example:
Permission Type | Description |
Adds clickable links to videos and playlists directly in the email body. | |
Public | Anyone with the link; unindexed by search engines. |
Account | Anyone in your account (workspace). |
Channels | A group of users in a team channel, or external users grouped in a connected Channel. |
Individuals | A specific Guidde user in your company, or an external member in a joint Channel. |
Open the Share Modal
1. To start sharing, open the Share menu:
From the video's view page: Click Share in the upper-right corner.
From Guidde’s homepage: Click the three-dot menu at the top-right of your video or playlist, and select Share from the opened menu.
2. From the share modal, you can:
Select to share the video and Doc, the video only, or the Doc only.
Email your guidde
Copy the link to your guidde
Set privacy level
Invite others to edit
Access advanced export or embed options.
Select Share Format:
At the top of this menu, choose whether you'd like to share:
Both the video and step-by-step document.
Only the video.
Only the document.
Set Your Guidde's Privacy
1. Click the arrow in the bottom-left corner to open the visibility settings menu, and set your guidde’s privacy and visibility level.
2. Select the privacy and visibility level you prefer:
Anyone with the link can view
Anyone in the workspace can view
Restricted: Only added individuals can have access
3. Once you’ve set the appropriate privacy level, you can share, embed, or export your guidde based on that setting and your preference.
Note:
On the Free and Pro plans, the default visibility for guiddes and playlists is Anyone with the link can view.
Advanced sharing and privacy controls are available on the Business and Enterprise plans.
Share a Link to a Guidde or Playlist
From the Share modal, you can send a guidde or a playlist directly to a single recipient or a group via email. You can also copy the link and share it directly, however you like.
Copy Link
1. Once you click Share on the video or playlist, click Copy Link in the bottom-right of the Share modal.
2. A checkmark will confirm the link was copied and you can simply paste it wherever you need to share with your viewers.
3. Your guiddes and playlists will play directly from the shared link. Just make sure the privacy settings match your indented audience.
Invite Colleagues to View or Edit your Guidde
Sharing your Guidde lets you collaborate with teammates while keeping your content accurate and aligned. You can invite others to view or edit your guidde and control their access for each specific video.
Note: Invite Colleagues to Edit your Guidde is available for individual guiddes only and currently cannot be used on playlists or channels.
Invite Workspace Members
You can invite collaborators in your workspace to view or edit your guide.
1. In the Share window, type your teammate’s name and click to select it from the suggestions.
2. Click the permission dropdown on the right.
3. Choose whether they can access the guidde as a Viewer or an Editor:
Viewers can only watch the guidde.
Editors can open the editor and make changes.
Note:
This option is available for new viewers you add to your workspace, or for collaborators who are not part of your workspace. Existing members in your workspace will not be granted editing rights to your guidde.
Guidde-level Editor access lets someone edit a guidde even if your workspace default sets New Users as Viewers.
To edit a guidde, users must have Creator permissions. Invited users without an assigned Creator seat automatically receive a 5-day Creator trial, during which they can edit guiddes if invited as Editors. After the trial, they’ll still have a free Guidde account, but they’ll need an available Creator seat in your workspace to continue editing.
4. Optional: Add a message.
5. Click Share.
6. The recipient will receive an email invitation and can open the guidde directly from the link. It will open in a new tab, where they can watch the guidde or access the editor, depending on their permissions.
Note:
Guide-level permissions apply only to a specific guidde and are separate from workspace roles like Admin, Creator, or Viewer.
For more advanced collaboration workflows, Content Review & Quality Control is available on the Enterprise plan and can be used by the video’s creator. If you’re editing a video created by someone else, you won’t see this option, even if you have editing access.
Invite External Users
Admins can invite people outside your workspace.
1. In the Share window, enter the external email address.
2. Click into the email input field and press Enter.
3. Select Viewer or Editor access.
4. Optional: Add a message.
5. Click Share.
6. In the confirmation popup, click Share Anyway.
7. The invited user will receive an email and can open the Guidde to view or edit it.
New users can sign up easily to access the guidde and start collaborating.
Manage access and permissions
You can review and manage who has access at any time.
1. Click Share on the guidde to see who currently has access.
2. Under People with access, click a user’s profile image.
3. Change their permission or remove access.
Pro tip: Track edits with Version History (on the Enterprise plan)
Version History lets you see who edited and published the guidde and when.
Click Edit to open the guidde in the editor.
Click the three dots in the top-right corner and select Version History in the menu.
You’ll see a full history of changes, including who published each version and when.
Edit a Shared Guidde
Editors can make changes to the guidde using the video editor.
1. Open the guidde from the invitation link.
2. It will open on a new tab, on the vedoe's view page. Click Edit to open the video editor.
3. Make your changes. You can check out the editor options here.
4. Click Done to save. The guidde will update with the new version and saved changes.
Note: As an invited Editor without a Creator seat, you’ll get a 5-day Creator trial. This lets you fully edit the guidde. Once the trial ends, you’ll still have a free account, and your access will become Viewer unless a Creator seat is assigned.
That's it! Inviting others to collaborate makes it easy to share knowledge, keep your guides accurate, and work together efficiently. You can control access, manage edits, and ensure your content stays aligned and up to date.
Pro Tip: To share a guidde or playlist under a different URL:
Make a copy of the guidde or playlist.
Update the title as needed (remove “Copy of”).
Set the visibility according to who should have access.
Share the new link.
Add a Guidde to a Channel
The guidde will be added to the existing content and playlists in the Channel, and will be visible to all its members in your workspace. Learn more about Channels in Guidde here.
Note: Viewers don’t need a Guidde account to access a shared Guidde or playlist link. In a Channel, however, only members you’ve added to that channel can see shared Guiddes or playlists, according to the channel’s visibility settings.
1. Click the three-dot menu in the top right corner of the guidde or playlist you want to add to a Channel.
2. In the opened menu, select Add to Channel.
3. Add to the relevant channel/s by checking the checkbox next to them.
4. You can create a new Channel if you wish, by clicking Create a new Channel at the bottom-left of the list and entering a name.
5. Click Save.
Share a Guidde or Playlist within Your Workspace
When the privacy level of your video is set to "Anyone in the workspace can view", the video/playlist will be available to everyone in your organization.
Click the 3-dot menu on the video/playlist's top right corner.
Click Share.
In the bottom left of the share modal, set the access level to Anyone in the Workspace Can View. The video is now available to everyone in your organization.
